Tax Reporting

Use the tax reports in RFMS Accounting to review tax liability, prepare tax payments, and review previously posted tax information.

Go to Accounting > File > Month End > Tax Reports.

Choose a Tax Report

RFMS provides the following tax report options:

Differences between listed options:

Option Description
Print Taxes Due Prints working reports for reconciling tax liability and preparing tax payments. Only records with an unpaid tax status are included. Depending on your activity, RFMS may print Sales Tax, Use Tax, Resale, and Tax Exempt sections.
Print & Post Tax Due Prints the tax reports and marks the included tax records as paid. Posting here does not create a General Ledger, Journal, or Accounts Payable entry.
Unpost Taxes Returns previously posted tax records to an unpaid status.
Print Tax History Reprints tax information for a previously posted period.

When you run Print Taxes Due or Print Tax History, RFMS creates one report that contains several tax sections. Each section begins with its own heading and those listed depend on your tax activity for the selected period.

Set Up Print Taxes Due

When you run Print Taxes Due, choose the options for the tax period and reports you want to review.

Month Taxes Are Due
Enter the month when the tax liability was generated. This may be different from the month when you actually remit the tax.

Stores
Select one or more stores to include.

Select Combine to combine the selected stores into one report total.

Subtotal
Select By State or By County when you need those additional subtotals. The report subtotals by city by default.

Cost to Use for Use Tax
If your business uses Use Tax or Line Tax, select the material cost RFMS should use:

  • Use Net Cost — Uses landed inventory cost minus applicable A/P discounts plus freight costed through Accounts Payable.
  • Use Gross Cost — Uses landed inventory cost from the Accounts Payable invoice.

Select Include Material GROSS Cost On Use Tax Report if you also want the Use Tax report to display gross material cost.

Select Include Surcharge on Sales Tax Report to see surcharge totals included on the tax liability report. For more information see the Cyncly Payments Surcharge section of this article.

Print Preview
Select this option to preview the reports before printing.

Output CSV To
Select this option to export the report information to a CSV file for additional review or calculations.

Review the Sales Tax Report

The Sales Tax report shows tax liability for the orders included in the selected period.

The report includes information such as:

  • Invoice total
  • Sales Tax Base
  • Sales Tax Collected
  • Sales Tax Estimated Due
  • Miscellaneous Tax Base
  • Miscellaneous Tax Collected
  • Miscellaneous Tax Estimated Due

RFMS can subtotal this information by city, state, or county based on the options you selected.

Cyncly Payments Surcharge

If your business uses Cyncly Payments surcharge, RFMS also identifies surcharge amounts on the Sales Tax Liability report.

The report displays Surcharge Total separately from the standard order totals. Surcharge totals follow the report grouping so you can identify the surcharge amount associated with the applicable city and state totals.

surcharge on tax liability report.png

RFMS currently calculates tax liability on surcharge amounts for sales tax only.

If surcharge is exempt from sales tax in your state, use the option on the Print Taxes Due screen to exclude surcharge from the report.

Review the Use Tax Report

The Use Tax report shows use tax information based on the gross or net material cost option you selected when running the report.

Depending on your report settings, it includes:

  • Order Date
  • Invoice Number
  • Customer
  • Delivery Date
  • Material Cost
  • Invoice Total
  • Use Tax
  • Material Gross Cost

Cyncly Payments Surcharge and Use Tax

RFMS does not currently calculate use tax liability on surcharge amounts.

If your business may have use tax liability related to surcharge, use the surcharge report in Payments Flex to calculate that liability manually.

A future RFMS update will incorporate surcharge into the Use Tax report.

Review Tax Exempt and Resale Reports

The Tax Exempt Deliveries and Resale Deliveries reports provide invoice information for orders where tax is not due.

These reports help account for sales that are excluded from the Sales Tax and Use Tax liability reports.

Print and Post Taxes

After you review the tax reports and confirm that the information is correct, use Print & Post Tax Due to mark the included tax records as paid.

Only records with an unpaid tax status are included. After RFMS marks the records as paid, they will not appear as unpaid tax liability in the next period.

If a tax report displays Proposed in its title, Print & Post Tax Due has not yet been completed for those records.

Unpost Taxes

Go to Accounting > File > Month End > Tax Reports > Unpost Taxes if you need to return previously posted tax records to an unpaid status.

Print Tax History

Go to Accounting > File > Month End > Tax Reports > Print Tax History to review tax information for a previously posted period.

Enter the beginning and ending months for the history you want to review. You can run the report for one store, multiple stores, or all stores.

The report subtotals by city by default. You can also subtotal by state or county.

  • If the report says Proposed then the Print and Post has not been completed.
  • If the same invoice is listed multiple times with both positive and negative amounts, that indicates that the order was un-job costed and/or re-job costed.
  • Orders that were un-job costed and/or re-job costed using a previous month’s date, will appear on the current report.
  • Sales tax amount collected and due can vary by either fractions of cents or if the tax field(s) within the order was manually adjusted.
