How to Configure your Cyncly Pay Account

 

After you have completed your initial implementation and training with one of our implementation specialists, you'll want to familiarize with the Cyncly Pay web portal. Many of the settings within the Manage Account page will be set up with you during implementation, but in the future, as you manage your own account, you can use this guide as a reference. 

  Tip: This article will follow the content of the Manage Account page from the top to the bottom.

How to Access the Account Management Section

From the navbar select Configurations. In the submenu that opens, choose Manage Account. navbar manage account.png
Store Name, Multi Company Group Name, and Statement Descriptor

The Store Name and Multi Company Group Name are maintained in our system. If there are any changes to your company name please contact our support department and we can make any needed adjustments.

The Statement Descriptor is what shows on bank statements for your customers. You are free to edit this descriptor. It is important that the descriptor be able to clearly identify your business as this may help in reducing chargebacks and disputes.

This descriptor should:

  • Be no more than 22 characters
  • NOT contain < > \ ' " or *

Terms and Conditions and Refund Policy Disclosure

These terms and policies are separate from those that are maintained in RFMS Online Services. As such they do not appear when sending quotes or orders via My Flooring Link.

The terms managed in Cyncly Pay appear in the payment portal. At the bottom of the screen there is a Terms & Privacy button.

You can link to an existing webpage that contains your terms and conditions or your refund policy. To do so, select the option: "Yes, I have a webpage for this." and enter the web address in the section labeled "URL".

If you would prefer to copy/paste or write your terms and policies here, you can do so and use the text formatting tools provided.

Emails Configuration

Email Notifications to Customers

Payment Request

Automated email requesting payment.

Payment Reminder

Automated email reminding customer of upcoming payment.

Receipt

When processing a payment the customer email on file will get sent a copy of the receipt.

  Note: RFMS integrated users, be aware that if you decide to employ the first two email notification options, the payment process must be completed. If it is started, and then stopped, the customer may receive emails that they have money due. It is recommended that these first two options be unchecked.

Email Notifications to those in Your Company

Enter one or more emails of the persons you would like to receive these reports.

Batch Reports Email is sent daily with the dollar amount of the settlement and a link to the report screen.
Disputes Email will be sent when a dispute comes in.
Payment Failed Email will be sent for each failed payment whether it is because the card has been declined.
Failed Payout When payout fails to reach the bank an email will be sent out.

Customize Receipt Emails

Add your company logo and primary color as a border to include a touch of your branding to the emails that your customers receive from Cyncly Pay.

Images are uploaded as PNG or JPG file types.

Use the Color Picker, by selecting the color box, or enter the HEX value, by selecting the text box, to set the primary color.

Manage Linked Bank Accounts

When you sign up for Cyncly Pay you'll have entered one or more bank accounts. They will be listed here on the Manage Accounts page. You can freely add or remove these accounts.

Manage Payment Methods

Card payments will always be active by default. Optional payment methods you may choose to accept include eCheck and 1099k.

 Tips:

  • Electronic checks, or eChecks, are a type of EFT (electronic funds transfer). They are filled out online by the payer. It is then processed by the Automated Clearing House (ACH) network. Due to this processing it will take a few days for the funds to clear and be reflected in your account.
  • 1099k payment methods include payment apps such as Venmo, PayPal, and Cash App.

 Note: These payment options are not currently integrated with RFMS.
