Acknowledgement
A document that is the same as a customer invoice that lists the details of a sale. If a customer order has been jobcosted the word "Invoice" will print at the top of the page. If the customer order has not been finalized and jobcosted, the word "Acknowledgement" will print at the top of the page. The acknowledgement refers to a customer order that has not been closed or "job costed".
Assigning Inventory
This refers to attaching inventory to a customer order. All inventory sold will be entered as individual lines when logging the customer rode. The status of the inventory line could be blank (no assignment made), Reserved, Cut, Delivered, Job costed, On Order, or Generate PO.
Attachment Formats
Attachments can use a number of different graphic picture formats as well as non-graphic files such as pdf, word, excel and text files. Supported graphic formats are .bmp, .wmf, .pcx, .gif, and .jpg.
Button A graphic image normally used as a button that when Click on performs a particular function. Usually, the picture shown on the button closely represents the function it performs.
CG
Computer Generated. This prefix is attached to customer order numbers and is sequentially incremented as new orders are entered.
Costing Inventory
Entering the invoice information via inventory to verify the cost being charged by the supplier as compared to the cost on the original purchase order. Costing also makes the appropriate general ledger entries. All inventory invoices should be entered from this screen and not from Accounts Payable. Cut Inventory is placed in a "Cut" status when the order is sent to the warehouse for staging. Inventory in a cut status is removed from the amount available on the inventory record.
Header
The area of the customer order that contains the sold to, ship to, and other pertinent general information. It also includes material total, services total, miscellaneous charges and tax.
Job cost
Jobcosting an invoice refers to posting all charges to related files. This function is the same as what is commonly referred to as "billing" or producing an "invoice". It is at this time that an order becomes shipped in the system. It will receive a delivery date and invoice date. In addition, any unpaid balance becomes an Accounts Receivable.
Job cost Sheet
A report that displays profitability for an individual customer order.
Lines
This term refers to each separate entry for every inventory unit either being assigned to a customer's order, being purchased by means of a purchase order, or being entered into item inventory.
Material
Anything sold on the customer order excluding services and unreferenced products.
Optional Fields
If a field is referred to as optional, the system does not require an entry. However, as various reports may include data entered in those fields, consistency is recommended.
Picking Ticket
Picking Tickets serve as notification that material is or has been received. Lines on a customer order should be in a "Cut" status when the picking ticket is printed. Those lines will be changed to a "delivered" status automatically when the picking ticket is produced. Product Code All inventory and services are classified by product codes. The breakdown is as follows:
Roll Inventory - 01 = Carpet, 02 = Vinyl
The product codes are assigned in Order Entry>Utilities>Set Up>Product Codes
03 to as assigned = Item Inventory
As assigned = Service
Required Fields
The system forces making an entry of some sort in all required fields by not allowing exiting them without an entry. If you have inadvertently passed an optional field of entry to complete and the cursor rests at a required field, entering any character al all, even a "." will allow you to exit that required field. However, this not recommended.
RFMS DOS
The original RFMS business management software program written for use in a DOS environment; also known as RFMS Legacy.
UPC
Acronym for Universal Product Code. UPC codes were developed to allow bar code scanning devices to read printed codes generated by different manufacturers. These codes are found on the sides or bottoms of most products (bottles of cleaners, glue, etc.)
Computer Terms
Right-Click
Most mice are designed with a left and a right button. Most selections are done by clicking the left button. However, some areas of Windows based programs allow Right-clicking on a record to display a "fly-out" menu. It is usually found on pick lists and the fly-out menu displays options to quickly perform a particular function.
Sticky Setting
Options which once set by the user will remain that way until manually changed by the user.
Toggle
Any instruction that works first one way and then the other; it turns something on the first time it is used and then turns it off the next time. For example a switch to toggle something from active to inactive.
User Defined (Definable)
The label and therefore use of this field can be set by the user.
