NEXT Accounting Reports

 

Running various accounting reports has been simplified in RFMS NEXT. Any report can now be run from a single screen.

The Process

  1. Select Report Category.
  2. Select the Report Type using the dropdown
  3. Use the Report Parameters section to fine tune the report.
  4. Click submit button.png at the top of the screen to run the report. (Click reset button.png to clear the screen.)

Report Parameters

The report parameters screen changes dynamically based on which report you choose to run. The available accounting reports are listed below along with their specific report parameters.

Print and Export Options

After selecting Submit you will be presented with a preview of the report, which can be seen in the example reports below. The report can then be sent to a physical printer or exported to PDF.

A. Navigate the pages of the report

Account Payables Reports

Payables by Supplier

This report sorts payables by Supplier. It is recommended that you print this report and view it prior to paying bills to determine which of them you want to pay at this time.

Field Explanation
Summary Checkbox Check this box to go from item from itemized lists to only totals. (Excludes the Accounts Payable Totals and Top 10 Material Vendors reports.)
Group Sorts

Choose to group report data by supplier or by date first, then by supplier.

 Note: Suppliers will automatically be listed in alphanumeric sort order.

Stores

Select the stores that you want to compile you data from for the report. 

 Tip: If you leave this field blank all stores will be fetched automatically.

Supplier

Use this field if you want to limit the report to a single supplier. Leaving it blank will run the report against all suppliers within the date range(s) entered.

 Tip: If you leave this field blank all stores will be fetched automatically.

Open Only Checkbox Only include invoices with an Open status in the report.
Include Hold Checkbox Include Open and On Hold invoices in the report.
Due Date Range Specify dates to search between for payables due during that time.
Transaction Date Range Specify dates to search between for supplier payables transactions.
Invoice Date Range Specify dates to search between for supplier invoices.

Accounts Payable Paid by Account Code

This report prints a listing of paid invoices by account number.

Field Explanation

Stores

Select the stores that you want to compile the data from for the report.

Combine Stores

Suppliers and invoices will not be divided by store.

Supplier

Use this field if you want to limit the report to a single supplier. Leaving it blank will run the report against all suppliers within the date range(s) entered.

Account Codes

Select the specific account you want to use for the report. More than one may be checked.

 Tip: If you leave this field blank all codes will be fetched automatically.

Checking Accounts

Select the specific account you want you want to use for the report. More than one may be checked.

 Tip: If you leave this field blank all accounts will be fetched automatically.

Date Paid Range Specify start and and end date to include in the report. The Paid date is the the date the check posted.

Accounts Payable Totals

This option produces a report that shows the total of all payables. Use for current dates to see the amount needed for upcoming bills.

Field Explanation
Period The report may include up to 10 due periods. The dates are user-defined unless Auto Fill is used.
Date Enter the begin date under "Period #1". The end date can be entered or will be filled in automatically based on the entered number of interval days.
Interval Enter the number of days between Due periods.
Auto Fill Enter a Begin Date and an interval. All Due Periods will be filled in based on that information.

Accounts Payable Paid by Check

This report prints a listing of paid invoices in check number order.

Field Explanation

Supplier

Use this field if you want to limit the report to a single supplier. Leaving it blank will run the report against all suppliers within the date range(s) entered.

Checking Accounts

Select one or more checking accounts using the check boxes.

 Tip: If you leave this field blank all accounts will be fetched automatically.

Check Number From/To Enter specific check number to start and end at to include in your report.

Accounts Payable Paid Online

This report prints a listing of invoices that were paid online.

Field Explanation

Supplier

Checking Accounts

Select one or more checking accounts using the check boxes.

 Tip: If you leave this field blank all accounts that you have permission to access will be fetched automatically.

Date Paid Online From/To Specify start and end date to include in the report. The Paid date is the date payment posted.

Entered by Account Code

This reports prints payables entered by Account Code. A single account code, multiple, or all can be selected for the report.

Invoice Listing

This report prints a list of invoices.

Field Explanation
Stores

Print Options

Page Break on Supplier: Suppliers will be listed on separate pages.

Include Account Detail:

Subtotal by Invoice: Payments made on an invoice are listed with a subtotal listed after.

Date  Options

List invoices by: due date, transaction date, invoice date, or paid date.

 

Status Checkbox

Select one, multiple, or all

Open, Paid, Hold, or Void

Date Begin/End Specify start and and end date to include in the report.
Inventory Comparison

This report lists differences between what was posted to Inventory and what was posted to Payables.

Field Explanation
Start/End Date Enter the earliest an latest dates that invoices may have for this report.
Show Mismatch Only checkbox

Checking this box will create a report that only displays inventory and payables with mismatched amounts.

A mismatch is recorded if it is on the inventory account AND the amount of difference is greater than +- $0.01 (or currency based on selected country in System Options)

Output CSV

From the print preview screen there is the option for CSV export.

Payable Due

This report prints a listing of invoices that were open as of a specified date. Can be printed by a particular supplier.

Field Explanation
Stores Select one, multiple, or all store codes. Invoices linked to the selected store codes will be included.
Supplier Leave blank to include all suppliers. Use the F8 button to select a single supplier.
Sub Sort Invoices due will be sorted by invoice number or due date after store code.
Ending Due Date Enter the latest date that an invoice can be due by for the report. The system defaults to the End of Time (EOT) date. Use the EOT time to include all invoices that have not been paid.
Open/Hold Checkbox Select invoices status to be included in the report. Choose open, hold, or both.
Top 10 Material Vendors

This is a print only report that includes no editable parameters.

Sent to Order Entry

This option prints a report of all Accounts Payable invoices sent to Order Entry.

Field Explanation
Begin/End Date Enter the earliest an latest dates that invoices may have for this report.
Stores Select one, multiple, or all store codes. Invoices linked to the selected store codes will be included.
Combine Stores Invoices will be combined into a single total instead of divided by store.
Order By Order invoices by date, supplier, or Order Entry invoice.
Show Unequal Only Checking this box will create a report that only displays invoices that do not match the totals of the corresponding order in Order Entry.
Aging

This report includes all payables that have been entered at the time the report is being produced, based on the aging date entered. Prints on 8.5 x11 paper.

Field Explanation
Aging Date Enter the starting date of the aging period.
Age By Select either Due Date or Invoice Date. Invoices will be ordered oldest to newest based on this selection
Stores Select one, multiple, or all store codes. Invoices linked to the selected store codes will be included.
Combine Stores Invoices will be combined into a single total instead of divided by store.
Supplier Leave blank to include all suppliers. Use the dropdown to select a single supplier.
Aging Periods Select how many aging periods to include in the report. Each period will be displayed as a column on the report with invoice totals for each A/P. Using the From and To fields to enter how many days to include in the period.
Open by Account Code

Prints a summary of invoices open as of a specified date. Prints on 8.5 x11 paper.

The report will subtotal by sub-accounts if used.

Field Explanation
Stores The report may be printed for all store codes, a single store code or a combination of stores. Use the dropdown and check Select All for all stores or single click individual store codes.
Combine Stores This creates a summary report with all selected store totals combined.
Account Codes Select a single account code, two or more, or click the Tag All button to select all account codes.
Open Payables as of Date Any payables with an open status as of the set date or earlier will be included. Use calendar icon to open the calendar.
