Discovering the Best about RFMS - Viewing AR Information from Order Entry

The List A/R Button ar.gif on the toolbar in Customer Orders can be used to access the Accounts Receivable information menu.  It is a very efficient way to access an Individual Invoices for a particular receivable account.

This button can be Password Protected or Removed From the Toolbar.

You can click the List A/R button ar.gif from a blank browse screen or you can highlight an order before you click.  You can also go to File Customer Orders>Edit>List A/R to get the Customer A/R Information screen to appear.

If an order is highlighted, then screen will fill in the First and Last Name fields.

Report Type

The Report Type area controls what types of invoices will be included.  Some of these types are self explanatory.  Below are some descriptions to help with any confusion.

  • Un-Delivered Invoices - The aging is actually the time since the order was entered
  • Section 1 and 2 Combined - Delivered Invoices with Balances and Un-Delivered Invoices combined; no aging is shown because this would be combining two types of dates, the date written for un-billed invoices, with the date delivered for billed invoices.
  • All Account Activity - With All Account Activity selected, aging is now shown.  Balances on written sales will show only in the total column, as they cannot be aged. When viewing All Account Activity, credit memos and add-ons are NOT displayed. Balances on written sales will show only in the total column, as they cannot be aged.
  • All Delivered Invoices - This includes Delivered Invoices with and without a balance.

First Name and Last Name 

Press F8 to select a customer from the customer list.  To view a listing of all customers, leave the First and Last names blank.

 

Start Date and End Date

The default is 01/01/80 to include all records in the file (since most users do not maintain historical information that far back).  Press F8 to access the on-line calendar or enter a date manually.  The date is either the Delivery Date (job costed orders) or the Order Date (Un-Delivered).

Print Add'l Info

Print Add'l Info checkbox is pulled from the Job Number Prompt System Option.  It will print under each invoice numbers line if this box is checked.

Once you have all the choices at the top of the screen selected correctly, click OK.

All of the A/R information and additional tools will display at the bottom of the screen.  Use the scroll bar across the bottom to see additional details.

The Additional Tools at the bottom allow the user to be able to view and work without exiting this screen.

Reset

Click the reset button to clear out the parameters and start again.

Go To

Will take you to the highlighted order on the Customer Browse screen.

View Order

Displays the header and line detail of the highlighted order. Click cancel to go back to the list.

Lines

Highlight a customer order and click the Lines button to view the lines on that order. To go back click exit.

Receipts

Highlight a customer order and click the Receipts button to view all receipts for that order. To go back click exit.

Job cost

Highlight a customer order and click the Job cost button to view the job cost information for orders that have been job costed at least once.  To go back click exit.

Client Management Actions (If available)  

Takes the user to the Client Management Remote Actions screen.

Print

Print a report of the displayed information.
