When a Payments Flex card payment includes a surcharge, Payments Flex also handles the surcharge when the payment is reversed.
You do not calculate or add the surcharge amount when you issue a refund in RFMS. Enter the base payment amount you want to reverse, and Payments Flex determines the related surcharge amount from the original transaction.

Voids and Refunds
Whether a payment is voided or refunded depends on whether Payments Flex has sent the payout to your business.
- Before the payout: You can only void the full transaction. A partial void is not available.
- After the payout: You can issue a full or partial refund.
When a payment is voided, Payments Flex reverses the full transaction, including any surcharge.
When a payment is refunded, Payments Flex calculates the surcharge amount to return based on the original payment.
Full Refunds
When you fully refund a payment that included a surcharge, the customer receives the full original surcharge along with the base payment amount.
The total refund equals the full amount originally charged to the customer.
You enter the base refund amount in RFMS. You do not add the surcharge amount separately.
Partial Refunds
When you refund part of a payment, Payments Flex calculates a proportional refund of the original surcharge.
For example, if you refund half of the original base payment, the customer also receives half of the original surcharge.
The total amount returned to the customer includes:
- The base refund amount
- The calculated surcharge refund
If the original payment did not include a surcharge, only the base amount is refunded.
Canceled or Failed Payments
If a payment is canceled or fails before funds are collected, no surcharge is collected.
Because the payment did not complete, there is no surcharge amount to refund.
