Refund or Void a Payments Flex Card Payment in RFMS Core

Use RFMS Core to reverse all or part of a card payment processed through Payments Flex.

RFMS determines whether the transaction is voided or refunded based on its processing status. A void reverses the entire payment. A refund can return all or part of a payment that has already been processed.

If the original payment included a Cyncly Payments surcharge, you do not add the surcharge to the amount you enter in RFMS. Payments Flex determines the surcharge amount to return based on the original transaction.

Refund or Void the Full Payment

Use the original receipt when you need to reverse the entire card payment.

1. In Order Entry, open the customer order.
2. Select Receipts.
3. Select the original Payments Flex card receipt.
4. Select Void.
5. Review the amount, then select Yes to continue.

RFMS sends the reversal to Payments Flex.

If the transaction can still be voided, Payments Flex voids the full payment. If the transaction has already been processed for payout, Payments Flex refunds it instead.

If the payment included a surcharge, the full surcharge is also returned to the customer. You do not enter the surcharge separately.

Refund Part of a Payment

Use a partial refund when you need to return only part of a card payment that has already been processed.

1. In Order Entry, open the customer order and select Payment.
2. Review that the Store and Register are correct. 

3. In Card, enter the amount you want to refund as a negative number.
   Enter only the base payment amount you want to refund. Do not add any surcharge amount.

4. Select OK.
5. In Find Charge To Refund, select the original Payments Flex card transaction.
6. Select OK.
7. When prompted to post the refund, select OK.

Payments Flex processes the refund against the original card transaction.

If the original payment included a surcharge, Payments Flex calculates the surcharge amount to return based on the portion of the payment being refunded.
